Privacy Policy

1. Who we are

Vantage AI Solutions ("Vantage", "we", "us") is a consultancy based in Bristol, UK, run by Dan Fitsall. We are the data controller for the personal data described in this policy. Contact: dan@vantageaisolutions.co.uk.

2. What we collect and why

• Contact form. Name, email, business name and your message, so we can reply. Sent to us via Web3Forms and stored in our email.
• Booking a call. Name, email and any notes you add when booking through Cal.com, so we can hold and prepare for the call.
• Email. Anything you send us, and our replies, stored in our email system for as long as the conversation is relevant.
• Kickstart intake form and documents. Business details, team names and roles, and documents you choose to share (price lists, templates, examples), used solely to prepare and run your session. Deleted within 30 days of the session unless you ask us to keep them for follow-on work.
• Website analytics. We use Vercel Web Analytics, which records page views in aggregate without cookies and without identifying individual visitors.
• Server logs. Our hosting provider (Vercel) records standard technical information such as IP address and browser type to run and secure the site.

3. Lawful basis

We process your data to take steps at your request before entering a contract and to perform that contract (replying to enquiries, holding calls, delivering a Kickstart), and where we have a legitimate interest in running and improving the website and business. We only send marketing emails with your consent, and you can withdraw it at any time.

4. Who we share it with

We don't sell personal data. We use these providers to run the business:

• Vercel (website hosting and cookieless analytics)
• Cal.com (call bookings)
• Web3Forms (contact form delivery)
• Google (email and documents)
• ImprovMX (email forwarding for our domain)

During a Kickstart, documents you choose to load into Claude are processed by Anthropic under your own subscription and their terms, not ours. We'll walk through the relevant settings with you on the day.

5. How long we keep it

Enquiries and correspondence: for as long as needed to deal with them, and up to two years afterwards. Client documents shared for a Kickstart: deleted within 30 days of the session unless agreed otherwise. Invoicing records: six years, as required by UK tax law.

6. Your rights

Under UK GDPR you can ask us to:

• Tell you what personal data we hold about you and give you a copy
• Correct anything inaccurate
• Delete your data, where we don't have a legal reason to keep it
• Restrict or object to how we use it
• Provide it in a portable format

Email dan@vantageaisolutions.co.uk and we'll respond within one month. If you're unhappy with how we've handled your data you can complain to the Information Commissioner's Office at ico.org.uk.

7. Cookies

This site doesn't set tracking or advertising cookies, which is why there's no cookie banner. The booking widget (Cal.com) may set its own cookies when you use it, and the site remembers small preferences in your browser's local storage. You can clear both from your browser settings.

8. Changes

If this policy changes we'll update the date at the top. Material changes will be flagged on this page.
